What to include on a plumber invoice

A good plumbing invoice shows what broke, what you fixed and what it cost.

  • License and insurance

    Show your plumbing license number and business details. Customers and property managers often need them for their records.

  • Service address

    Write the exact job address, since it can differ from the billing address. Landlords and managers need this.

  • Work description

    Describe the problem and the fix in plain words, like replaced kitchen faucet cartridge and cleared drain line.

  • Parts with prices

    List each part with quantity and price. Common lines are fittings, valves, water heater and pipe.

  • Labor and trip fee

    Show labor by the hour or as a flat repair price. Add a service call fee as its own line if that is how you work.

  • After-hours rates

    If you worked nights, weekends or on an emergency, label the rate. It explains the higher price.

Flat-rate or hourly plumbing jobs

Many plumbers quote a flat price for common jobs, like a toilet install or a water heater swap, so the customer knows the cost upfront. Hourly billing is common for hard-to-diagnose leaks, where the time is unknown.

On either style, keep parts on their own lines. If you mark up parts, do it the same way every time. A short note such as 'includes 1 year labor warranty' on the invoice also helps customers trust the price and call you back.

Plumber invoice questions

Do I charge tax on parts and labor?

In many US states, labor is not taxed but materials are. Check your state's rules, or ask your accountant.

How should I show a service call fee?

Add it as a single line, like Service call and diagnosis. Some plumbers credit the fee if the customer approves the repair.

Can I get a deposit for a big install?

Yes. For water heaters or repipes, ask for a deposit to cover parts and show it as already paid on the final invoice.

Should I list the warranty?

Yes, if you offer one. A note like 90 day labor warranty in the terms protects both sides.

What if the customer is a landlord?

Add the property address and the tenant's unit number if needed, and bill the owner or manager named on your estimate.
