Checklist

What to include on a landscaping invoice

Landscaping mixes repeat service with one-off projects. Your invoice should handle both.

  • Property address

Write the exact address serviced, especially if you manage several properties for one client.

  • Service type

Name the work: mowing, edging, hedge trimming, sod install or fall cleanup. Each line shows what was done.

  • Visit dates

For recurring clients, list each visit date in the month. It makes monthly invoices easy to check.

  • Materials

List mulch, topsoil, plants, stone and sod with quantity and price. Yards and cubic yards are common units.

  • Equipment and disposal

Add dump fees, equipment rentals or haul-away as separate lines at cost.

  • Seasonal packages

If you sell spring or fall packages, show the package price as one line with what is included.

Guide

Pricing recurring lawn care visits

Most lawn care is priced per visit, based on lot size, time on site and travel. Add a margin for fuel, equipment wear and slow weeks. Quote the price per visit so the client can plan their monthly cost.

Weather can move visits around, so invoice by the month for what was done rather than by the plan. List each visit date and any extras like edging or leaf cleanup. Clients see the work and pay without a call.

FAQ

Landscaping invoice questions

How do I bill a monthly lawn care client?

Send one invoice for the month with a line for each visit. Some landscapers bill upfront for the next month instead.

Do I charge tax on plants and mulch?

In many US states, materials are taxed and labor is not. Check your state's rules.

Should I charge a rain delay fee?

Usually not. Most landscapers simply reschedule. If you have a policy, write it in your terms.

How do I bill for a big install?

Ask for a deposit to buy plants and materials, then bill the balance when the job is done.

Can I add a fuel surcharge?

Yes, if you tell clients in your terms. List it as a small separate line.
