Checklist

What to include on a contractor invoice

Clients pay faster when they can see exactly what each dollar covers.

  • License and contact info

Add your contractor license number, business name, phone and email. Many clients and some states expect to see the license on paperwork.

  • Job address and scope

Write the job site address and a one-line scope, like kitchen remodel or deck repair. It ties the invoice to the signed estimate.

  • Labor lines

List labor by task or by hours and rate. Keep each task on its own line so the client can follow the work.

  • Materials lines

Show lumber, fixtures, paint and other supplies with quantity and price. Add your markup into the price or as its own line, whichever your contract says.

  • Change orders

Bill approved extra work on its own line and mention the change order date. It avoids arguments at final payment.

  • Deposit and balance

Show deposits already paid and the amount still due. Progress invoices work well for jobs that run several weeks.

Guide

How progress billing works on a remodel

On bigger jobs, many contractors split the price into stages. A common plan is a deposit at signing, a payment when work starts, one at a midpoint like rough-in, and the balance at completion. Your contract sets the exact amounts.

Send each progress invoice when the stage is done. Put the stage name on the line, such as Rough-in complete, and show what has been paid so far. Clients see the full picture and you keep cash flowing for materials.

FAQ

Contractor invoice questions

Should I list materials and labor separately?

Yes. Separate lines build trust and make tax easier, since in many US states labor is not taxed but materials are. Check your state's rules.

How do I bill a change order?

Add it as its own line with the date and a short description. Keep the signed change order on file in case the client asks.

Can I add a markup on materials?

Yes, if your contract allows it. Either build the markup into the unit price or show it as a separate line.

When should I send the final invoice?

Send it when the work is finished and the client has walked the job. Net 7 or net 14 terms are common for residential work.

Do I need to show my license number?

Rules differ by state, but showing it is a good habit. Many states require it on contracts and ads, so check with your licensing board.
