Checklist

What to include on a freelancer invoice

A clean invoice answers every question your client might have before they ask.

  • Your name and contact

Use your full name or business name, email and address. If you have a tax ID, add it so the client can file their records.

  • Client details

Put the client's company name and the person who approves payment. It sends the invoice to the right desk.

  • Clear service lines

Name each deliverable or task, like Logo concept round or 10 hours of editing. Avoid vague lines such as services rendered.

  • Rate and quantity

Show hours and hourly rate, or a flat fee with quantity one. Clients like to see how the total was built.

  • Invoice number and dates

Use a simple running number and add the issue date and due date. It keeps your books tidy.

  • Payment instructions

List how to pay: bank transfer, check, card link or PayPal. Make it easy to say yes.

Guide

Hourly or flat rate: which to put on the invoice

Hourly billing suits work with an unclear scope, like ongoing support or edits. Log your hours as you go and list them in the invoice lines. Flat fees suit projects with a clear end, where the client wants a fixed price.

Whichever you pick, match the invoice to your agreement. If you quoted a flat fee, bill that fee, even if you finished early. If you quoted an hourly rate, include the hours so nothing looks like a surprise.

FAQ

Freelancer invoice questions

When should I send my invoice?

Send it as soon as the work is delivered or on the date you agreed. For long projects, invoice at milestones.

Should I ask for a deposit?

Many freelancers ask for 25% to 50% upfront on new clients. It covers your time and shows the client is serious.

What payment terms should I use?

Net 14 and net 30 are both common. Shorter terms help your cash flow, but match what the client's team can handle.

Can I charge a late fee?

Yes, if you say so in your terms before the work starts. State the fee clearly on the invoice.

Do I charge sales tax?

It depends on your state and what you sell. Many states do not tax services, but some do. Check your state's rules or ask an accountant.
