What to include on a web developer invoice

Tech work is hard to see, so a clear invoice does a lot of the explaining for you.

  • Project and ticket names

    Reference the project and, if useful, the sprint or ticket numbers. It lets the client match work to their tracker.

  • Hours and rate

    For time-based work, show hours and your rate by task, such as checkout bug fix or API integration.

  • Milestones

    For fixed bids, bill by milestone: design approved, staging live, launch. Each line is a clear deliverable.

  • Hosting and domains

    List hosting, domain renewals and plugin licenses as separate lines, billed at cost or with a small fee you agreed.

  • Maintenance plan

    Bill a monthly care plan as one line, with what it covers: updates, backups and a set number of support hours.

  • Out-of-scope work

    Show requests outside the original scope on their own lines. It keeps the original quote clean.

Billing sprints and maintenance

For ongoing product work, many developers invoice at the end of each sprint, often two weeks. Put the sprint dates on the invoice and list the main items finished. Clients get a steady rhythm and you get steady pay.

Maintenance and hosting work well as recurring invoices. Charge the same amount each month for updates, backups and a set support allowance. Anything above the allowance goes on a separate hourly line, so the client knows when they have gone over.

Web developer invoice questions

Should I bill hourly or fixed price?

Fixed bids suit clear projects, and hourly suits changing scope. Many developers use fixed milestones plus hourly for extras.

How do I bill hosting I resell?

List it as its own recurring line. Say whether it is at cost or has a service fee, and bill it before the renewal date.

Can I ask for a deposit?

Yes. A deposit of a third to half is common on new fixed-bid projects, with the rest tied to milestones.

Do I charge sales tax on software work?

It depends on your state and the type of work. Some states tax software or digital products. Check your state's rules.

What if the client keeps adding features?

Bill extra requests as change requests on their own lines. Agree on the price in writing before starting.
