Checklist

What to include on a graphic designer invoice

Design invoices work best when each phase and the final rights are clear.

  • Project name

Use a clear name like Bakery rebrand or Spring flyer set. It ties the invoice to the brief.

  • Phase lines

Split the work into steps: research, concepts, refinement and final files. Clients see progress and you can bill as you go.

  • Revision rounds

State how many rounds are included, and bill extra rounds as a line. It keeps scope creep under control.

  • Usage and ownership

Say if the client gets full rights on final payment or a limited license. Spell it out in a short note.

  • Stock and print costs

List stock images, fonts or print proofs at cost. Add your handling fee if your contract says so.

  • Rush fee

If the client needs it in a hurry, add a rush line, often a set percentage of the fee. Agree on it before you start.

Guide

Billing design in phases

A common plan is half upfront and half on delivery of final files. For bigger brand jobs, bill by phase: discovery, concepts, refinement and handoff. It spreads the risk and gives the client clear points to approve.

Keep final files until the last invoice is paid. Say so in your terms. When you deliver, include editable source files only if your contract promises them, since many designers price those separately.

FAQ

Graphic designer invoice questions

How many revisions should I include?

Two or three rounds is common. Say the number in your quote and bill extra rounds at an hourly rate.

Do I charge for source files?

Some designers include them and some charge extra. Decide in advance and list it on the invoice if it is a separate fee.

How do I charge for a rush job?

Add a rush line, such as a percentage on top of the base fee. Tell the client before you accept the deadline.

When do I hand over final files?

Many designers deliver after the final payment. State that in your terms to avoid awkward chasing.

Should I list stock image costs?

Yes. Add them at cost on their own lines, and keep the licenses on file.
