What to include on a tutoring invoice

Parents like to see what they paid for. Dates and subjects make that simple.

  • Student and parent names

    Add the student's first name and bill the parent or guardian. It keeps records clear for both.

  • Subject and level

    Name the subject, like Algebra 2 or SAT math. It helps parents who pay for more than one child.

  • Session dates

    List each lesson date with its length. A monthly invoice with four lines is easy to scan.

  • Rate per session

    Show a rate per hour or per session. Use the same rate in your sign-up message.

  • Package pricing

    If you sell a 10-lesson pack, bill it as one line and track remaining lessons in a note.

  • Materials

    List books, practice tests or printing at cost when you charge for them.

Packages vs pay-per-session

Pay-per-session is simple and flexible. Parents pay for what they use, and you invoice at the end of each month. It works well for students who need help before a test and then take a break.

Packages, like ten lessons for a set price, give you cash upfront and encourage steady progress. State an expiry date, such as three months, and a reschedule rule. Then late cancellations do not turn into arguments about money.

Tutoring invoice questions

Should I invoice every lesson or monthly?

Monthly is easier for both sides. Send one invoice with a line for each lesson.

How do I handle missed lessons?

Write a cancellation rule, like 24 hours' notice, in your terms. Bill late cancellations as a separate line if you charge for them.

Do I need to charge tax on tutoring?

Rules vary by state. Many states do not tax tutoring services, but check your state's rules.

Can I bill an online session the same way?

Yes. Use the same lines and note that the lesson was online.

What if I tutor through a company?

Then the company may invoice or pay you directly. If you bill them, use their name and any contract number as the client.
