Checklist

What to include on a photographer invoice

Photography bills mix time, edits and rights, so spell each one out.

  • Shoot date and type

Name the session, like engagement shoot or product day, and the date. It matches the invoice to your booking.

  • Session or day rate

Show your shooting fee as a flat session price or a half-day and full-day rate. Include how many hours it covers.

  • Editing and retouching

List edited images delivered, such as 40 edited photos, and any extra retouching at a per-image price.

  • Usage license

For commercial work, add a line for the license: where the images can be used and for how long. It protects your rights and the client's.

  • Travel and extras

Add mileage, parking, assistants, prints or albums on their own lines. Clients see what drives the total.

  • Retainer already paid

Show the booking retainer as a credit so the balance due is clear.

Guide

Deposits for photography bookings

A non-refundable retainer holds the date on your calendar. Many photographers ask for about a quarter to half of the total at booking, with the rest due before the shoot or at delivery. Put the rule in your contract and repeat it in your invoice terms.

Invoice the retainer first, then send a second invoice for the balance. On the second one, show the retainer as already paid. For weddings, due dates one to two weeks before the event are common, so you are not chasing money after the big day.

FAQ

Photographer invoice questions

How do I bill usage rights?

Add a separate line for the license with the use, region and time period. Commercial clients expect this, and it keeps your fee fair for the value.

Should I charge a booking retainer?

Most photographers do. It reserves the date and covers lost income if the client cancels.

Do I charge sales tax on photos?

It varies by state. Some states tax prints or digital goods and some do not tax services. Check your state's rules.

When do I deliver the final gallery?

Many photographers deliver after the balance is paid. Say so in your terms so the client knows the order.

Can I bill for travel time?

Yes. Use a flat travel fee or mileage and list it as its own line so it is easy to explain.
