Checklist

What a Canadian invoice must include

These are the details Canadian clients generally expect on an invoice.

  • Business name and address

Show your legal or trade name, address, email and phone.

  • GST/HST number

If you are registered, show your GST/HST number. It is your nine-digit business number followed by RT and four digits.

  • Client name and address

Add who you are billing, with their address.

  • Invoice number and date

Use a unique invoice number and a clear date. Many Canadians use YYYY-MM-DD or DD/MM/YYYY, so a written month helps.

  • Itemized services or goods

List each item with quantity and price. Show the tax charged on the invoice.

  • Tax, total and payment info

Show the tax amount, the total and the due date. Add how to pay, such as Interac e-Transfer or bank transfer.

GST vs HST in Canada

Canada has a federal GST of 5%. Some provinces combine it with their own tax into one HST. In Ontario, HST is 13%. Other provinces differ, and Quebec also has its own QST.

The rate you charge generally depends on where the sale is treated as made. Check the Canada Revenue Agency (CRA) website for the right rate and rules for your province.

FAQ

Canada invoice questions

What is the difference between GST and HST?

GST is the federal tax at 5%. HST joins the federal and provincial taxes into one rate in some provinces. In Ontario it is 13%.

Where do I put my GST/HST number?

Put it near your business details at the top of the invoice. Use the full format, like 123456789RT0001.

Can clients pay by Interac e-Transfer?

Yes, it is a very common way to pay in Canada. Add the email address that receives transfers in the notes.

Do I charge the same tax in every province?

No. Rates differ by province, and Quebec has its own QST. Check the CRA website for your case.

Do I need an invoice in French?

Rules for language can depend on the province and your clients. If you work in Quebec, check the local rules.
